How buying a clinic machine direct works, step by step

What happens between choosing a laser or body machine and treating your first client when you buy direct: the written quote, proforma invoice, 50% deposit or full payment, preparation, insured delivery, training and warranty.

Most clinics have bought equipment through a sales rep: a demo, a quote that arrives days later, then a negotiation. Buying direct is shorter, but it is less familiar, and the most common question we get is simply what happens after I say yes? Here is the whole process, start to finish.

1. Choose the machine and its configuration

Every machine page shows its final delivered price for the US and Canada, and the options that change it, such as voltage or extra handpieces. If you are unsure which machine fits your clinic, call or text +1 (786) 591-0786 or write to us and describe your client list. A good answer sometimes points to the smaller machine.

2. Get a written quote

Use "Email me this quote" on any machine page and the quote arrives in your inbox within a minute, with the configuration you chose and the total. Nothing is committed at this stage. Many clinics share the quote with a partner or their accountant before going further.

3. Order and receive the proforma invoice

When you order, you receive a proforma invoice: the machine, its configuration, the total, and the bank account to pay into. The invoice can also be downloaded again from your order page at any time, so the payment details are never only in an email.

4. Pay in full, or start with 50%

Payment is by bank wire. You choose:

  • Pay in full, or
  • Pay a 50% deposit to start, and the balance once the machine is ready to ship. The total is the same either way.

Most clinics choose the deposit: half now is a much smaller step than a full five-figure wire to a supplier you have just found. Our terms and returns policy set out exactly what is and isn't refundable at each stage, in plain language, before you pay.

5. Preparation

Every machine is configured and prepared against your order. We tell you in writing when preparation starts, because that is the point after which the configuration is fixed. Before that, you can cancel a fully paid order and be refunded in full.

6. Insured delivery to your door

The machine ships by fully insured air freight, typically 12 to 15 days from dispatch, with tracking. In the US and Canada, freight, customs and duty are already included in your price: you do not deal with a customs broker, you do not collect anything from a freight terminal, and nothing is payable on arrival. The machine is delivered crated to your practice address.

If anything is damaged in transit, note it on the delivery receipt before the driver leaves and send us photographs. The shipment is insured and we handle the claim.

7. Training and first treatments

Operator training is included with every machine. Our technical team trains your staff online once the machine is installed, answers their questions directly, and the machine comes with printable parameter cards for common treatments. One-to-one clinical training can also be arranged.

8. Warranty and support

  • 12 months on the machine, from delivery
  • 3 months on handpieces, applicators and handles, which are wear parts
  • Replacement parts supplied free within the warranty period
  • Remote technical support by video for as long as you own the machine

Before you buy from anyone

Whoever you buy from, ask the same questions: is the price final or will freight and duty be added? What is the warranty, and what does a replacement handpiece cost? Who trains your staff? Our buying checklist lists them all, and our med spa equipment budget guide helps plan the first year.

Common questions

How do I pay for a machine bought direct?
By bank wire against a proforma invoice. The invoice shows the machine, its configuration, the total and the account to pay into. You can pay in full, or pay a 50% deposit to start and the balance before the machine ships. The total is the same either way.
How long does delivery take?
Delivery to your practice is typically 12 to 15 days from dispatch, by fully insured air freight. The machine is prepared against your order first, and we tell you in writing when preparation starts and when it ships, with tracking.
Will I pay anything extra when the machine arrives?
Not in the US or Canada. The price you are quoted is the final delivered price: freight, customs and duty are already paid, and the machine is delivered to your practice address. Outside the US and Canada we quote freight before you order, and local import taxes are payable by the buyer.
What if the machine arrives damaged or faulty?
Note any transit damage on the delivery receipt and send photographs within 3 business days; the shipment is insured and we handle the claim. A machine that arrives faulty is repaired or replaced at our cost if reported within 14 days. After that, faults are covered by the 12-month machine warranty, with replacement parts supplied free.
How does training work?
Training is included with every machine. Our technical team trains your operators online once the machine is installed and answers their questions directly, and printable parameter cards come with the machine. Remote technical support by video continues for as long as you own it.
